SCHOLARSHIP AWARD TERMS & CONDITIONS

Ensuring Fairness, Accountability, and Educational Impact

Scholarships awarded by the NHSBBQA Education Foundation are granted for charitable and educational purposes and are subject to the following terms and conditions.

These terms ensure responsible stewardship of charitable funds, compliance with IRS regulations, and fairness to all applicants.

Nature of Scholarships

  • All scholarships are educational awards intended to support learning, training, and workforce readiness.

  • Scholarships are not cash prizes, stipends, wages, or competition payouts.

  • Awards do not confer ownership, influence, or competitive advantage in any program, event, or competition.

Acceptance of Awards

Recipients must formally accept their scholarship by:

  • Signing a Student Award Acceptance Letter

  • Acknowledging these Award Terms & Conditions

  • Agreeing to all applicable Foundation policies

Failure to accept an award within the specified timeframe may result in forfeiture.

Approved Use of Funds

Scholarship funds may be used only for approved educational purposes, which may include:

  • Tuition or educational program fees

  • Instructional tools, supplies, or equipment

  • Industry certifications, testing, or credentialing fees

  • Approved educational travel and training expenses

Funds may not be used for:

  • Personal living expenses

  • Cash withdrawals or stipends

  • Non-educational purchases

  • Expenses without a documented educational purpose

Disbursement of Funds

  • Scholarships are disbursed in accordance with the Foundation’s Award Disbursement & Reimbursement Policy.

  • Funds may be paid directly to educational institutions or vendors, or reimbursed upon submission of valid receipts.

  • Cash payments to recipients are discouraged and permitted only under limited circumstances with Foundation approval.

Documentation & Verification

Recipients may be required to:

  • Submit receipts or proof of payment

  • Provide documentation demonstrating educational use

  • Participate in periodic verification or reporting

The Foundation reserves the right to audit scholarship expenditures to ensure compliance.

Duration & Availability

  • Scholarships must be used within the timeframe specified in the award notification.

  • Unused or unapproved funds may be forfeited or reallocated at the Foundation’s discretion.

Revocation of Awards

Scholarships may be suspended or revoked if:

  • Funds are misused

  • False or misleading information is provided

  • Required documentation is not submitted

  • Award terms or Foundation policies are violated

All revocation decisions follow the Foundation’s Award Revocation & Appeals Policy, which provides due process and an opportunity to appeal.

Appeals Process

Recipients have the right to appeal adverse decisions in accordance with the Foundation’s Revocation & Appeals Policy.

Appeals must be submitted in writing and within the stated timeframe.

Compliance & Oversight

The NHSBBQA Education Foundation:

  • Operates under the oversight of an independent Board of Directors

  • Administers scholarships using objective, nondiscriminatory criteria

  • Maintains written governance and financial policies

  • Complies with all applicable federal and state nonprofit regulations

Relationship to NHSBBQA®

The NHSBBQA Education Foundation is a separate legal entity from the National High School BBQ Association® (NHSBBQA®).

Scholarship awards are administered solely by the Foundation and are independent of competition participation, placement, or results.

Acknowledgment

By accepting a scholarship from the NHSBBQA Education Foundation, recipients acknowledge that they have read, understand, and agree to these Award Terms & Conditions.
